Make the supplied version the starting point
A countertop bean-to-cup vending machine can suit an indoor refreshment point when the counter, consumables and service arrangements are specified together. For the button-and-coin format considered here, the buying decision starts with a version record: cabinet photographs, model plate, approved dimensions, controls and supplied options. A familiar product name is not enough to identify the equipment that will arrive.
Our reference research found two supplier pages using the same model designation but different cabinet dimensions and weights. One lists W438 × D540 × H1010 mm and 52 kg; the other lists W429 × D575 × H700 mm and 35 kg. These are unresolved reference values, not interchangeable installation specifications. Request a drawing for the quoted build, including the hopper and any removable accessories, before approving counter works.
Check the counter as a working station
Confirm the counter's permissible loading with the site team using the final operating weight, not an assumed empty-cabinet figure. Include the filled consumables and any water container the installation requires. Check how the machine will enter the venue and whether lifting it onto the counter needs handling equipment or additional people.
Ask for the opening and removal space around the hopper, ingredient containers, service panels and waste containers. Locate the cup pickup position at the proposed counter height and demonstrate comfortable collection. The rear connection route, ventilation clearance and cleaning access also belong on the site drawing. A cabinet that fits between shelves may still be difficult to replenish.
Approve cups and recipes as one dispensing setup
The selected supplier reference describes automatic cup dispensing and an infrared cup sensor. That identifies a feature to inspect; it does not establish compatibility with locally purchased cups or prove how a missing cup affects payment and brewing. Submit the actual production cup, including its rim, material and nesting profile, and retain an approved sample.
Demonstrate each proposed recipe using the agreed ingredients and cup. Record the selected button, ingredient assignment, delivered volume and room remaining below the rim. Avoid inferring the menu count from a photograph or accepting a drink label as a complete recipe. Confirm which ingredient paths are shared and obtain the appropriate cleaning procedure before changing powders or recipes.

Choose the water arrangement before promising unattended service
Ask the supplier to identify the water arrangement supported by the exact cabinet: how clean water reaches the machine, which treatment or storage equipment is required, and where liquid waste is collected. Do not transfer connection options from another page carrying the same model name. The quotation should identify the included pump, hoses, fittings and any site work separately.
Walk through a full service visit with the person who will operate the coffee point. Include ingredient replenishment, water checks, grounds removal, liquid-waste emptying and the documented cleaning process. Measure the effort during the pilot. Set visit timing using actual consumption and the supplied instructions, rather than a headline cup-storage figure.
Test the paid transaction through to recovery
A visible coin-control area does not identify every accepted currency or establish compatibility with a local cashless provider. Specify the intended payment method, terminal or acceptor, currency, settlement account and any network requirement. Ask which parts are included and who commissions them.
Observe a completed purchase and supplier-approved tests for an unavailable drink, interrupted connection where relevant, and a failed dispense. Establish whether credit is retained, refunded or referred to staff, and where the event is recorded. Keep customer instructions and operator recovery instructions distinct. Save the accepted controller and payment settings so a service replacement can be restored consistently.
Build the quotation around handover, not just the cabinet
Request separate lines for the machine version, payment hardware, water accessories, approved consumables or samples, spare parts, packing and transport. Confirm packed dimensions and gross weight after the supplied build is identified. Ask for operating instructions, the applicable parts list, warranty terms and the responsibility for labor and replacement-part freight.
Brand and function customization is typically available for projects of around 10–20 machines. This is typical project guidance, not a fixed minimum order. Send the quantity for each model; do not assume different machines automatically count toward one threshold. Standard-machine enquiries at smaller quantities remain welcome. For changes to drink selection, payment behavior or the interface, define the intended behavior, demonstration and approved version, then confirm feasibility, cost and schedule in the quotation.
Frequently asked questions
Can I plan the counter using the smaller published dimensions? No. The conflicting reference values remain unresolved. Use the signed drawing and operating weight for the actual quoted cabinet before committing to the counter or receiving route.
Can I switch to a cheaper local cup later? Submit a production sample and repeat the agreed dispensing checks. Matching a nominal serving size does not establish the same rim, nesting or release behavior.
Does automatic cup dispensing remove the need for an operator? It automates one step. Replenishment, cleaning, waste handling and fault recovery still need assigned responsibility and an observed service plan.
What should a first enquiry contain? Send the destination, quantity per model, counter and access constraints, intended menu, cup sample, water arrangement and payment preference. Include branding or function changes and the target opening date so the proposal can identify both the build and handover scope.
