Open with a documented set of accepted orders

Commission a phone case printing vending machine by completing traceable test orders on the delivered hardware and software with accepted blanks and artwork. Power-on, a payment approval and a collected product are different checks. A wrong case or unresolved paid order should remain a hold item until retested.

Give every opening test a shared header: delivered machine serial, software version, ink identity and blank-stock revision. This keeps the result attached to the unit and assortment being opened, and makes a later retest easy to compare.

Select representative opening tests

Choose cases that cover the distinct physical formats and important models in the opening assortment. Include accepted artwork and the intended language. A purposeful sample set can expose different loading, selection and printing tasks without repeating the same easy order many times.

Complete the routine operating tasks with the staff who will perform them: identify the blank, locate its compartment, follow the approved order flow and record the output. Keep supplier assistance visible in the log. If a staff member cannot complete a step without assistance, add a training action.

Use explicit pass and hold conditions

Agree acceptance criteria before testing, using the sample approvals and documented operating requirements. A correct print on the wrong case is a hold. A successful output with an untraceable payment state also needs resolution. Do not mark the whole kiosk accepted because most test rows passed.

Hypothetical opening log: nine test orders are acceptable and one returns a case whose camera opening differs from the selected model. Hold that model or affected configuration, reconcile its mapping and rerun the relevant tests. The example illustrates a decision method; it is not a claimed test result or a prescribed sample size.

Check the information needed after opening

Confirm that staff can find the support contact, machine identity, accepted stock map and actual consumable instructions. Request the defined procedure for a failed paid order and verify that it links to the original order reference. Review any customer notices with the responsible destination adviser.

Ask who will approve a future new case format or artwork workflow. An opening log should not become a permanent approval for all future stock. Keep a lightweight change record linking replacement blanks, software updates and new accepted samples to the original commissioning evidence.

Example opening test row

Use columns for installed machine and software version, blank code, artwork file, order and payment references, selected and collected case, print sample, result and unresolved owner. Mark an affected case format held when its identity or payment cannot be reconciled; release it only after the relevant test is repeated.

Finish with a handover package

The completed log should travel with the parts list, software responsibilities brief and accepted samples. Preserve photographs that show machine condition without publishing customer information. Record any hold items and their impact on the opening offer, including whether a model is temporarily unavailable.

The finished log is a handover document for venue staff and the supplier. It shows accepted formats, held items, training actions and the person responsible for each correction. The quote should identify who performs the site work and which commissioning tasks are included.
