Define the approved version before approving the batch

A bulk claw machine order needs an approved configuration revision, a record for each unit and a rule for substitutions. Identify controller, electrical and payment versions, prize mechanism, settings and artwork before inspection. A shared model name is insufficient when unrecorded changes would alter staff instructions, spare compatibility or station mapping across the batch.

Keep separate configuration rows for the Compact Single Claw, Magic Box 28-Clip and Blue Four-Station Mini Claw. Their mechanisms or station layouts differ. Use the selected catalogue model to open the row, then fill it with the agreed bill of materials and revision identifiers for the order.

Build a unit-to-unit evidence matrix

Give each unit a column or a row with a stable serial or shipment identity. Use the approved configuration revision as the comparison target. Match each evidence file to that unit instead of keeping an unlabeled gallery of similar cabinets.

  • Model and cabinet revision, dimensions where required by the order and full installed height.
  • Controller, software version, authorised language and agreed settings record.
  • Electrical input configuration, plug and relevant label or document.
  • Payment component, supported denomination or token sample, interface and station mapping.
  • Prize mechanism identifier, approved sample family and loading arrangement.
  • Artwork revision, included accessories, spares and packing-list identity.
  • Unit record, inspection result, discrepancy and agreed resolution.

Define what a change requires

The substitution rule should name the proposed change, reason, affected units, price or schedule effect and acceptance checks to repeat. Compare an alternative component with the required fit and functions before approving it. Save the decision with the affected unit records.

ICE describes SD-card settings transfer for Grab N' Win. For your batch, specify how the selected controller's configuration is recorded, restored and checked on each unit. A saved baseline can simplify handover when the version supports it; the method remains to be agreed in the quote.

Agree unit checks and sampled demonstrations

Agree which checks apply to every unit and which extended demonstrations use a sample. Keep selected serials and the sampling scope on the inspection plan. Unit identity, labels and configuration can be checked individually even where longer play tests are sampled.

List every station within a unit record and match controls, acceptors and outlets to the intended mapping. Carry shared-component revisions and compatible spare identifiers alongside the result. This makes mixed revisions easier to recognize during both arrival checks and later support.

Use the matrix at dispatch and arrival

Compare the pre-dispatch record with the received serials, labels and packing list. Preserve discrepancies and the supplier’s resolution. Keep configuration evidence with the parts and maintenance register so support can identify the exact unit later.

Attach model quantities, destination versions and the matrix to the wholesale brief. Include component identifiers, change-notification terms and the agreed unit-level inspection scope in the returned proposal.
