Capsule Vending Machine Compatibility: Test the Capsule, Wheel and Refill
Capsule diameter alone does not approve a vending setup. Specify the dispensing conversion, test the complete capsule and record what happens at different stock levels.
Approve a complete dispensing combination
Buy a capsule vending configuration as a combination of machine, dispensing conversion, coin mechanism and filled capsule. Two cabinets that look identical can contain different wheels or adjustment parts. A supplier’s phrase such as accepts large capsules is too broad to approve an order unless the exact compatible stock and installed conversion are identified.
Ask which dispensing conversions and cabinet variants are offered and identify the one included in the quote. A product family may use different parts for different capsule sizes, gum or bulk merchandise. A capacity or compatibility figure is useful only when it is tied to the installed mechanism and the approved stock; cabinet appearance alone cannot establish that match.
Create a capsule sample identity record
Measure the complete closed capsule in the condition it will be sold. Record its maximum external dimensions, shape, seam, protrusions, total filled weight and stock supplier. Photograph the sample with a scale reference. Keep the agreed sample or a traceable sample batch so that later refills can be compared with the approved stock.
Nominal size is not the whole specification. A capsule labelled with one diameter may have a wider seam or closure detail. The enclosed toy or folded insert changes the complete sample’s weight and distribution. Do not substitute a new shell or fill because it looks similar; ask whether the change requires another trial on the approved machine.
Match the conversion using manufacturer terminology
Request the manufacturer’s current conversion name, part identifier and approved capsule specification for the quoted machine. Keep separate conversions as separate configuration choices; a list of available sizes does not establish a continuously adjustable range. Confirm the installed conversion and test the actual closed, filled capsule before approving compatibility.

A listed size band does not replace a sample test. Do not copy one conversion’s specifications to another machine or mechanism.
Run a refill-to-collection trial
Agree a trial procedure with the supplier before testing. Have the authorised operator load the approved sample stock using the model’s instructions. Observe normal purchase and collection through a representative run, keeping successful outputs and exceptions in the same log. Record the stock condition at the start, the payment used, the output received and any staff intervention.
Repeat the agreed checks at fuller and lower stock conditions rather than filming only a single successful vend. If a fault occurs, stop and have the supplier follow the authorised recovery procedure. Do not ask staff to reach into a moving mechanism or defeat a guard. The purpose is to identify a compatible setup and a supported response, not to force an unsuitable capsule through.
Distinguish display capacity from refill frequency
Request the capacity definition for the exact machine and capsule. Published tables can be useful starting points, but the shape, loading arrangement and approved operating fill can affect the stock available for sale. Use an observed fill count for planning until the supplier confirms the number and method. Keep reserve stock separate from the capsules loaded into the cabinet.
Build a route log with opening stock, additions, dispensed stock, removed stock and closing stock. Record the reason for removals, such as testing or damaged packaging. Choose the next refill visit from observed outflow and the venue’s access schedule. A larger hopper can reduce some visits while increasing tied-up stock; it does not prove greater sales.
Check the coin mechanism and support burden
Test the actual intended coin or token with the quoted mechanism and pricing configuration. Confirm how payment and handle movement relate to one dispensed item. Ask the supplier to explain supported rejection and recovery cases. A mechanism marketed for one currency should not be assumed compatible with another coin of roughly similar appearance.
Make the parts list specific to the installed revision and cabinet variant. Ask for the applicable diagram and identifiers for the conversion, locks and payment components. A shared part name does not prove that different sizes or revisions are interchangeable. Agree who may replace each part, what evidence support needs and how the ordered configuration will be recorded.
FAQ: capsule machine procurement
Will any capsule under the advertised maximum fit? No. A maximum size does not define every compatible shape or conversion. Match the installed dispensing parts to a real closed and filled sample.
Can the same setup vend sweets and capsules? Do not assume so. Some machine families offer distinct gum, bulk and capsule conversions. Changing merchandise can require different parts, cleaning procedures and a new approval.
Should the first order include a full year of capsule stock? Base the commitment on sample approval, storage conditions, replenishment time and measured use. An untested bulk stock purchase can create a compatibility problem larger than the cost of the machine.
