Match spares to the installed component revision

A useful claw machine spare parts kit identifies the installed component, approved replacement, compatible machine revision and authorised fitting procedure. Start with a parts register, then decide quantities from the consequence of downtime and quoted replenishment time. A generic box of motors, boards and acceptors may be unusable if its contents cannot be matched to the ordered cabinets.

Keep separate parts records for the Compact Single Claw, Pink Full-Height Claw and Blue Four-Station Mini Claw. Match controllers, claws and harnesses by installed part and revision, with any cross-model compatibility stated by the supplier. This matters particularly when station count and cabinet construction differ.

Create a component identification register

Start with label photographs and part identifiers, then select quantities. Put the installed component and approved replacement on one row. For an internal supplier number, include revision and description so the same item can be reordered later.

  • Machine model, serial or batch, station and component function.
  • Manufacturer or supplier part number, revision, label photo and physical mounting information.
  • Electrical or signal specification where relevant, verified by the responsible technician.
  • Approved replacement number and written compatibility scope for the quoted configuration.
  • Replacement procedure, required skills and whether the work is permitted under support terms.
  • Price, lead-time quotation, minimum supply unit and storage requirements.

Prioritise by consequence and supply time

Use three planning questions: what becomes unavailable if the part fails, how quickly can the approved replacement arrive, and who can fit it? A low-cost part that stops all stations and has a long replenishment path may deserve more attention than a decorative panel. Conversely, holding a costly controller is less useful if no authorised technician or configuration file is available to install it.

Use the supplier's model-specific recommended spares as a starting list, with the basis of the recommendation. Keep buyer-selected reserve stock and parts included with the machine in separate columns. Add operating interruption records when they become available.

Turn component categories into a starter kit

Discuss controls, buttons, coin or token assemblies, moving components, sensors, power parts, clips and cosmetic wear items as relevant to each model. Turn those categories into an actual parts list with identifiers, compatibility and fitting responsibilities before pricing the kit.

ICE organizes its genuine parts catalogue by game and part or SKU. Apply that traceability to your register: a staff member should be able to identify the component, find its compatible replacement and place a repeat order without relying on a loose photograph.

A hypothetical priority decision

Assume an importer is choosing between an extra decorative trim panel and an approved station-control component. The control component would stop one station if unavailable and has a quoted replenishment time longer than the buyer’s tolerance. The trim panel affects appearance but does not stop the agreed game sequence. Under those stated assumptions, the control part may receive priority, provided an authorised fitting procedure and matching configuration are available.

Keep the hypothetical choice, cost and storage needs in the register. A later controller revision reopens the spare's compatibility review, even if its label or appearance is similar.

Connect spares to support and reorder

Put warranty supply, freight, labour and compatibility approval under named support responsibilities. Label each stored spare with its part number and compatible unit or revision. When it is used, update reserve stock and link the entry to the fault report.

Send the model mix, quantity, destination and downtime tolerance with the register. Price the recommended kit separately from equipment. Prefer components staff can identify and service can use over a larger assortment with unclear fit or fitting requirements.
