A photo booth purchase includes a print workflow, a stock commitment and software access. Check the output you will sell and who can manage the system before approving the cabinet.

Choose the product the customer takes away

Start a commercial photo booth brief with the physical and digital output: photo strips, individual prints, a group scene or a personalised card. Define how many outputs belong to one purchase and where the customer collects them. A cabinet with a camera does not automatically support every output format. The printer, media, software and delivery workflow must be matched.

Request a demonstration of each output included in the proposal. A compact print booth, a group-photo attraction and a souvenir-card system can require different printers, media handling and software. Identify the exact output, printer, media and software combination in the quotation; a sample from a different configuration does not establish what the ordered booth will produce.

Build the output and consumables sheet

Request the exact printer model and revision, media part number and output formats enabled in the quote. For a paper printer, identify the approved paper and ribbon combination. For a card printer, identify the blank card specification, ribbon and loading procedure. Keep samples from the proposed configuration. A display sample is useful only when you know how it was produced.

Capacity and compatibility belong to the specific printer, media and software combination. Do not reuse one model’s figures for another.

Translate media capacity into an operator task

A manufacturer’s quoted media capacity is a replenishment input, not a promise of completed paid transactions. Ask how it counts sheets, strips, duplicate copies and test prints. Include rejected prints and commissioning waste in the stock plan using your own measured allowances. Check whether unused paper or ribbon can be carried into the next change, following the printer instructions.

Time a complete authorised refill: retrieve stock, reach the service area, load media, close the booth and produce a test output. Include service-door clearance and secure stock storage near the venue. Ask the supplier to show the actual printer and hopper locations, all access doors and any seat or panel removal required. Check those tasks against the proposed installation and the exact ordered version.

Separate machine ownership from account control

Ask whose account initially registers the booth, who holds administrator access and how an ownership or site transfer works. Record the unit identifier against the purchasing entity. Obtain the scope of local controls, remote dashboard, reporting, content changes and technical support. Owning the cabinet should not leave the operator unable to change routine settings because credentials remain with an installer.

Ask the supplier to demonstrate initial registration, administrator handover and any remote content-management functions included in the offer. Request the current licence and service terms, payment and connectivity dependencies, renewal conditions and exit arrangements for the proposed deployment. Software services shown on another booth do not establish the continuing inclusions of the quoted configuration.

Specify image handling without assuming ownership

A usable procurement response should state where captured images are stored, whether they leave the booth, how digital delivery works and who can access or remove them. Ask the supplier to identify the functions that need network access and the consequences of disconnecting. Review the proposed customer notices and permissions for your destination and venue before enabling capture or sharing.

Do not use a brand logo or recognisable licensed character as proof that the content may be used in your territory or under your proposed business model. Ask which assets the supplier licenses, which assets you must provide and what approvals apply. Keep artwork rights, visitor-image handling and machine ownership as separate questions in the order record.

Test the purchase-to-print sequence and compare costs

Use a consented test subject to follow payment, format selection, camera framing, preview, printing, collection and any digital retrieval. Record the configuration and media used. Ask the supplier to demonstrate supported responses to low media, failed output and a network interruption. Check what staff see and how they distinguish a print still in progress from a customer request that needs resolution.

Compare the complete operating scope: machine, initial media, replacement consumables, payment fees, software or content charges, connectivity, installation and training. Use current quotations and observed media usage. A smaller booth may suit a constrained site, while a group attraction may need a different queue and session plan; neither format has a universal payback period.

FAQ: photo booths and souvenir cards

Can one photo booth make personalised cards? Only when the offered printer, hopper and software explicitly support that output. A normal paper-print specification is insufficient. Request an actual card sample from the quoted configuration.

Does a roll capacity equal the number of customers served? Not necessarily. The output mix, copies, test prints and failed prints affect replenishment. Ask how the manufacturer defines its capacity and measure your intended workflow.

What should the enquiry include? Send the destination, venue type, available area, expected output formats, branding needs, quantity and payment preference. Ask for a consumables list, service access drawing and current software/account terms with the quotation.
