Order production stock and service supplies separately
Plan cotton candy vending supplies as separate lines for approved sugar, paper sticks, cleaning materials and identified service parts. Size production stock from the opening period and recipe consumption, then compare storage, purchasing pack sizes and replenishment lead time.
Machine refill capacity limits what can be loaded at a visit. It does not set demand for the week. Give each item an approved product code, countable purchasing unit and source, with the accepted sample reference for sticks or other compatibility-sensitive supplies.
Build a stock record the team can use
Record stock inside the machine and reserve stock separately. Daily entries should show receipts, completed servings, interrupted cycles, material use and losses. Keep unavailable or damaged material outside usable stock under the approved handling process.
For opening purchases, use several explicit demand scenarios and a stated operating period. Add the expected local supply lead time and order pack size. These fields make the next order adjustable when actual use becomes available.

Use a bounded opening example
Suppose a hypothetical first-week plan assumes 20 servings daily over five days. That creates a planning quantity of 100 servings. At one stick per serving, 100 sticks cover that output before rejected cycles and reserves. Sugar uses the approved recipe’s consumption figure rather than a maximum refill claim.
If replenishment takes three operating days, reorder inputs are expected use during those three days plus a separately stated reserve. Compare the resulting quantity with pack sizes, storage and ingredient-life constraints. Buying extra sugar merely because the vessel can hold it can tie up cash and storage without improving supply coverage.
Manage substitutions and the second order
Keep the equipment supplier’s process for alternate sugar and sticks with the stock file. A changed stick specification or ingredient product needs the relevant evaluation before use; the supply agreement should require notice of substitutions.
After opening, replace demand and consumption assumptions with pilot records. Reconcile physical quantities with any remote stock estimates, then revise reorder levels by item. Ingredients, daily sticks and replacement assemblies will usually need different purchasing decisions and delivery sources.
