Keep one readiness and stock record per station

Keep separate stock, readiness and fault records for stations A and B on a dual clip prize machine. Record prize collection and transfers on the correct side. A full-looking cabinet can otherwise hide an empty or unavailable station.

The supplier lists two players and 56 clips, divided into 28 per station. The cabinet has two hanging-prize assemblies, front controls and retrieval doors. Map shared and independent pricing, counters and fault handling for the quoted controller before building the staff routine around them.

Build the opening station log

Label the stations A and B on the staff sheet in a way that matches the cabinet. Include date, operator and the stock family assigned to each. Check readiness before collecting stock data so an out-of-service position does not get mistaken for weak merchandise demand.

  • Station identity, approved prize family, package revision and normal loading arrangement.
  • Usable occupied positions, empty positions and any positions intentionally unused for spacing.
  • Visible attachment condition and whether the outlet is clear under the supplier’s procedure.
  • Price and play instruction shown to the customer; credit and control check if authorised.
  • Fault status, action required, person responsible and next inspection time.

Reconcile additions and removals separately

For each side, record starting stock, additions, delivered prizes and removals for damage, tests or assortment changes. Compare the closing count with the expected balance. If it differs, review transfer entries, removals and counting method before assigning a cause.

Put each electronic counter's definition and reset rule beside the stock log. A play counter and a prize-event counter measure different events, while transfers belong in the physical stock record. Keep station-setting changes with the same day's entries.

For each station, expected ending stock equals starting stock plus additions and incoming transfers, minus prizes delivered, other removals and outgoing transfers. Compare that balance with a physical closing count. Keep a separate discrepancy entry; an electronic counter cannot reconcile transfers unless its documented definition accounts for them.

A hypothetical two-station inspection

In a hypothetical day, both sides start with twenty-four approved prizes. Staff add five to A and three to B. A closes with twenty-two and B with twenty-five. With no other removals or transfers, physical prize movement is seven from A and two from B. Use the same balance method with your actual station counts.

If B spent part of the day out of service, the counts cannot fairly compare prize appeal. If staff transferred units between sides, the transfer needs two matching entries. Use the note field to record opening promotions, location changes and any different settings, so the buyer can interpret movement rather than simply rank the stations.

Map shared and independent functions

The controller map should identify shared power, control, counter, acceptor and release components. Include the documented out-of-service method for one station if the version supports it, who can change settings and how the agreed configuration is restored. Technical isolation follows the model's service procedure.

The supplier lists a 100 × 88 × 150 cm cabinet. Mark its confirmed front orientation, two player positions, both prize doors and refill access on the venue plan. Staff need to reach each chamber without crossing the customer pickup route.

Create a handover that another operator can use

At handover, the next operator should find each station's closing count, open fault, current settings and approved prize family on one sheet. Keep the refill instructions and identified service parts with that record. Use the sheet in the quote brief to explain the stock and control functions your operation needs.
