Keep later menu changes traceable
Retain the accepted ingredient codes, recipe list and sample conditions with the quote. Define which changes need buyer approval, including sugar vessels, recipe packages, software and feeder components. A supplier response can then be compared with a known version on arrival.
Future ingredient or portion changes may affect consumption and replenishment. Update the recipe record and repeat the relevant supplier-led evaluation when those inputs change. The operating team gets a usable opening menu and a clear route for expanding it.
