Separate opening fill from reserves and allowances

Calculate initial claw machine prize inventory as approved fill for every station plus chosen reserves and test, damage or changeover allowances. Keep quantities by compatible package family. Price the stock separately from the cabinet unless the quote identifies included merchandise.

The supplier lists 56 clips for the Dual-Station Clip, divided into 28 per station; usable quantity depends on your package arrangement. Fill quantities remain open for the Compact Single Claw and Dual Claw & Blind-Box. Resolve the latter's box-versus-plush configuration before buying its opening assortment.

Build an opening-fill plus reserve worksheet

Use one row per approved prize family and machine station. Keep planned values visibly distinct from quantities confirmed by a sample-loading demonstration. Add an identifier so the warehouse and operating team count the same package.

The illustrative opening fill is 30 plush units plus 40 clip prizes plus 20 boxed units, or 90 items in total.

If the buyer adds reserves of 12 plush, 16 clip prizes and 8 boxed units, plus 2 test samples from each family, the initial purchase becomes 132 items. The arithmetic is 90 + 36 + 6. Every input is hypothetical, including the assumed compatible stock arrangements. None of these counts is a capacity claim or a sales forecast for the reference models.

Keep reserves in compatible families

An initial total of 132 needs a package-family breakdown to be useful. Keep attachment, mass range and sample revision beside each quantity. Allocate reserves to the accepted hanging or boxed arrangement, with any shared prize's compatible machine configurations listed explicitly.

Check minimum purchase units and assortment packing with the merchandise supplier. Rounding up to cartons can increase initial stock and storage costs. Keep this rounding visible as a commercial adjustment, not as extra display capacity. Separate rejected or damaged stock from the available reserve.

Choose the reserve using stated assumptions

Start with a provisional reserve if consumption is unknown. State the replenishment interval, planned review frequency and storage limits, then revise the quantity from operating records. Keep any substitute prize already approved so a delayed stock delivery does not force an untested package into the machine.

Track plays, machine availability and physical stock movement separately. Out-of-service time, empty stations and a promotion can distort the first period’s movement. Review those conditions before placing a large repeat purchase. A larger opening assortment can tie up money even when it looks attractive in the chamber.

Request the stock and equipment scope together

List included prizes, hanging consumables and test samples as separate quotation items, with stock codes and quantities. Put the approved fill arrangement beside them. This reconciles the equipment offer with the opening inventory sheet.

Send the worksheet, machine quantities and package families for a combined scope review. The quote can then separate equipment, opening merchandise, consumables and packing, making the initial stock commitment clear.
