Arcade Equipment Purchase Specification: A Mixed Machine Order Sheet

Start with one controlled line per model

A mixed arcade equipment order works best with one common purchase sheet and a separate line for every machine. Claw play, token dispensing, cotton candy service and printed cases have different supplies and outputs. The common sheet coordinates the order; the attachments define each operating offer.

Name the catalogue reference, quoted supplier model, quantity, configuration revision and supplier on each line. Attach the current quote and validity. Electrical build, payment and support can then be compared by machine rather than buried in a general statement.

Copy these common purchase fields

Model and quantity | approved cabinet and artwork revision | order-specific electrical build | controller and payment arrangement | software and account scope | installed dimensions and service requirements | packing specification requested or received | included parts and consumables | acceptance method | documents required for review | support owner | priced exclusions.

Add status beside each field: buyer requirement, supplier proposal, confirmed scope or unanswered. An unanswered value is not approval to substitute. When a field affects feasibility or price, name who must answer it and which purchasing milestone depends on the answer.

Keep a category-specific attachment

For claw, clip and scissor prize machines, attach the accepted prize and mechanism configuration. For marble and ball skill games, attach the demonstrated play, result and reset loop. For token equipment, attach the physical token sample and payment-to-dispense test.

For food machines, attach the recipe or mix, accepted stick or cup, refill and cleaning handover, and site requirements. CT103 has supplier-described manual paper-stick insertion and removal; define who performs those steps and the attendance needed. For phone-case printing, attach the accepted blank, artwork and compartment map. For CT-MJ330, separate nail-sticker output from ready-made press-on packs.

Control changes where they affect the order

A change row should name the old and new configuration, requester, evidence affected, price effect, schedule effect and approval owner. A substituted reader can reopen the payment test; a different retail pack can reopen dispensing acceptance. A colour proof may affect appearance without approving either of those technical changes.

When quoting parties return the same sheet, component and scope differences become easier to price. Label supported, optional and development items, and name who coordinates work across suppliers. The buyer can then see which decision changes the total or schedule.

Use the record at receiving and operation

Before shipment, match package records and agreed inspection evidence to the approved model lines. At receipt, identify the delivered units, software, documents, samples and parts. Operating staff should be able to find the relevant stock and support record without reconstructing the purchase conversation.
