Build the handover around two consumable systems

Prepare two consumable lists for a nail vending machine: the accepted sticker-printing substrate and print supplies, and the ready-made press-on retail packs. Tie each item to its stock code, replenishment unit, supplier and documented operator task. A complete supply path for one offer does not cover the other.

Start with accepted sticker samples and accepted merchandise packs. Match each to a stock code, reorder source and applicable instructions. A general list saying paper, ink and nails is not enough to reproduce the opening offer or identify a substituted consumable.

Create a consumable-to-task handover matrix

Connect each consumable to the task that uses it: printing, stock refill, cleaning or merchandise replacement. The item record includes its supplier, accepted sample, reorder unit and the actual storage or use instructions. This makes substitute stock easier to identify.

Separate tasks such as stock counting and customer assistance from internal servicing. Request the supplier-defined training boundary for each. Staff should know how to identify a problem and stop or escalate according to the documented process without being expected to repair unfamiliar machinery.

Demonstrate refill and identification

Ask staff to follow the supplied refill instructions using the accepted stock. Record whether they can distinguish sticker material from merchandise packs and update any associated inventory mapping. Demonstrate the documented method on the quoted cabinet, with supplier supervision as needed.

Hypothetical issue: staff receive replacement merchandise in revised packaging. The handover record should direct them to compare the new pack with the accepted specification and request a fit test. A reorder description alone should not authorise a substitution that affects vending.

Specify the support evidence

A print-quality complaint needs an output sample, consumable identity and order reference. An incorrect merchandise pack needs the selection record, stock mapping and pack code. Give staff a short evidence card for each so the responsible supplier receives information that can distinguish the fault.

Compare support offers by channel, service hours, replacement supplies and any technician attendance. These are separate cost and service choices. Putting them beside the consumable record shows how the offer will be maintained after opening stock is used.

Reorder record by offer

Record: sticker material or merchandise code; accepted sample; configured machine; supplier; reorder unit and quantity; storage/use document; substitution approval; operator task; support owner. Keep the sticker and ready-made merchandise rows separate, including when they share a cabinet or payment service.

Approve a workable replenishment package

Send opening assortment, destination, language and staffing details with the consumables request. Ask for opening quantities, reorder pack sizes and the versioned documentation package. Include any destination product-information review still required.

The two-offer matrix connects replenishment with the staff task and supplier contact. It helps the venue sustain sticker output and ready-made stock separately, even when they share one cabinet and payment route.
